Ginny Wilkins (SHARP Field Trainer):

Hi, I'm Ginny with Sharp. Today, we're going to be showing you the preview. Now preview can be shown in a lot of different ways. So I'm gonna show you a variety of reasons that you can use this particular feature.

Ginny Wilkins stands in front of a MFP.

So first off, as I notice a lot of times is when we're reducing or enlarging, we waste a lot of paper.

So just a little FYI, copiers actually enlarge out of corners and reduced back into corners. So a lot of times we end up making multiple copies.

She opens the top of the MFP to show the copier and then closes it.

So what you can do is go into your copy and actually go into your copy ratio and you can choose what you want to do. So I'm going to enlarge this particular document 200%.

Camera zooms to the display on the MFP. She selects the copy icon on the screen and then selects the copy ratio button. A pop up shows the different ratio options. She selects the center ratio which is currently at 100% and changes it to 200%.

Instead of pressing start, I'm going to press preview. What it's going to show me is first what it looks like at 100% then what it looks like at 200%.

She clicks “Preview” on the right side of the screen. A preview of the page appears on the screen and then a zoomed-up version of the same page appears on the screen to indicate the 100 to 200% change.

If I like that I can just press start but if I'm like that's not what I was thinking, I can go back in, press that arrow to the far left and anything that's not grayed out, I can change.

She presses the arrow on the left of the screen which opens a side menu.

So I could say well maybe if I put it on 11 by 17 paper. I can now see it on 11 x 17 paper. If I'm like no, still too big. I can go in and I can reduce it 50% and now it shows right up in the corner and I can go back on letter so I can keep tweaking till I get the paper I want, the image I want, press start and only make one copy. That's one way of using it.

From the side menu, she clicks “Paper Select” and switches the paper tray option to 11 x 17 paper. The preview page shows what the document would look like on 11 x 17 paper. She then selects the copy ratio from the side menu and changes the ratio from 200% to 50%.

Another way of using it is many times, a lot of us will go to staple something and we end up stapling in the wrong corner. So I can go into my staple sort and I can choose a particular corner staple or the two point. And I can press preview. It'll actually show me the pages going in and what corner it's gonna staple.

She places a stack of printed images in the printer face down. The camera zooms to the MFP screen. She selects “Staple sort” and selects the 1 Staple option. She leaves the staple position on “Left” and clicks OK. She selects preview and we see the printed images feeding into the printer one by one and the images appearing on the screen. A pink staple is on the top left corner of the images.

Therefore, I can decide if that's what I want or I can go back in and again make those changes. And I can also even change my quantity. All right? So copying wise it just gives us the ability to be able to look at it before we make that copies.

She clicks on the arrow on the left to open the side menu and points at options.

But, another way of using it is I'm gonna put a page specifically upside down. I'm gonna go in and preview. As it's going through, I'm gonna notice oops one of my pages is upside down.

She takes the stack of printed images and turns one of the pages upside down and puts it back into the stack. When she clicks preview, we see on the screen that one of the images is upside down.

Normally we would have to start over. Instead of doing that in the bottom left hand corner, there is a little pen with a little paper that allows us to edit.

On the bottom left of the screen she selects the picture and pen icon.

So I can touch the page I want to edit and choose my option to the right. There's delete page, rotate page, there's insert a blank or I could just rotate it myself. I can also move the pages, I can touch the page and tip move or I can hold down and rearrange the order.

She selects the upside down page and motions to the options pop up on the right. She uses the rotation arrows on the corner of the picture to manually rotate it 180 degrees. She taps the picture again to show the “move” option on the right panel and then manually drags the picture to the right of the screen.

I can also insert a blank by just touching the little squares in the middle and insert a blank. So you can delete a page. I can just touch a page. Hey, I don't want that page and delete it.

She selects “Insert a Blank” from the right panel and touches a square between page 2 and page 3. A white blank page appears in between the two pages. She selects a page and chooses the “Delete the Page” option. That page disappears from the preview.

So it allows you to delete, move, insert, rotate but also say that there's an area on the page, a name um uh a number that you're like I can't have, you can actually redact through the preview.

In order to do that, you just press erase specified range. And you would arrow over to the page that you want to do your editing. Once you get there you may want to press the plus button so you can actually see it on the screen. And then you don't have to be picky and I'll show you why. You just touch a spot and say this is your start point. And then touch another spot to make a box and press this as end point. At this time. I can move it anywhere on the page.

She selects the “Erase Specified Range” from the right panel which shows the first page of the print order and a bar with arrows indicating what part of the stack the current page is in. She then clicks the + button multiple times which allows her to zoom into the page. She taps a random part of the picture and an orange point appears with two options: “This is a Start Point” and “Not Specified”. She selects “This is Start Point”. She taps another part of the picture and another orange point appears, forming a box with the other orange point. She selects “This is an End Point” for this orange point and the box is immediately filled in with a green color. She drags this box around the screen.

I can also touch outside the page and move the document. So I could then put my hand with a little bit of pressure and make it as big or small as I want. So, basically you're going to get the area that you want to delete.

She drags the picture downward and drags the box to the top left corner of the picture. She uses the arrows on the side of the box to elongate and shorten the box.

Once you're happy you press execute. Now it turns red it's not gonna be red, it's gonna be blank there. But you get four places per page, you get special range 2, 3 and 4. If I was done I could exit out and it'll show me or I could say I have another place and I could do that same process. Moving it around. And then press execute. This one is green, the next one is blue. The next one is purple.

She clicks the execute button on the right side panel and the box turns red. She points to the three additional buttons below the Erase Range1 button. She then selects “Erase Range2” and creates another rectangle using the orange points. She selects execute and the box turns into a bright green color.

Once I'm done I just press exit and edit end and it actually shows me on the screen prior to me pressing start. Also I could still change the quantity, I could still go in and say you know what I do want that stapled. I do need 10 copies. So as long as starts last, it just allows us to see it, look at the pages, I can look at the pages individually, I can look at a thumbnail viewer I can just kind of scroll through and say, yep, this is exactly what I thought.

She then clicks “exit” on the top right of the screen. We then return to the preview screen and she selects the “Edit End button". We now see the edited page with white blank boxes in place of the red box and green box. She clicks “Staple Sort” and chooses 1 staple and then closes the tab. She then also switches the Copies count from 1 to 10. She uses the arrow buttons to go through the pages. She then presses the thumbnail view on the bottom of the screen and the images all fit on the screen at one time. She then selects the scrolling view right next to the thumbnail view and uses a swiping motion to look through the pages.

And press start and just make those copies without having to hit stop Immediately.
